GENERAL INFORMATION AND RENTAL POLICIES
Thank you for giving us the opportunity to provide you with some of the finest accommodations in Sevier County and the Great Smoky Mountains! Please take a few minutes to review the enclosed confirmation letter and this summary of rental policies. We have established the following guidelines and operating procedures to help ensure your stay with us goes as smoothly as possible. Thus, it is very important that you read this summary and ask for clarification, or perhaps a waiver if appropriate for your situation. For example: pets are not allowed in the cabins, but animals trained to assist disabled persons will be accommodated if you tell us about them BEFORE your stay begins. Finally, please be aware that your rental agreement includes a provision stating you have been informed of these rule and guidelines and that you agree to abide by them.
RESERVATION DATES. First and foremost, please check the days identified in the confirmation letter as your check-in and check-out dates. If there is a discrepancy between the dates you want and the dates identified in the letter, call our toll free number immediately so we can resolve the difference and be sure the cabin you want is available when you want it.
Rental Policy
Office Hours are as Follows:
Monday - Friday: 9:00 AM to 8:00 PM
Saturday and Sunday: 9:00 AM to 5:00 PM E.S.T
Volunteer Cabin Rentals offices are closed for Easter Sunday, Thanksgiving Day, Christmas Day and New Years Day.
CHECK-IN TIME: Guests can check-in anytime after 3:00 p.m. EST, and while we make every effort to have your cabin ready with no delays, sometimes the check-in process gets slightly off-schedule. No discounts or refunds will be given due to a delay in check-in. If you're planning a late arrival time, please contact our office during business hours to make arrangements to pick up your key. Guests who check in after office hours must return to the office the following morning. At check-in, guests will be required to present identification, sign a rental agreement and pay the balance due for their stay.
CHECK-OUT TIME: We regret that you have to leave at all; however, to be fair to those checking in after you, we must insist on a 10:00 a.m. EST check-out time.
Please put dishes and cookware in the cabin's dishwasher and start the machine; also, please pack and seal garbage in plastic bags. A minimum fee of $50 will be charged to your credit card if excessive cleaning is required. Please return your keys to the front desk or the early departure mailbox by the office door.
If you disconnected the TV cables to play games then you must reconnect the TV and cable cords. If you do not and we have to send a TV repairman to reconnect the cable or satellite, then you will be charged $50.
All homes are privately owned so rates, descriptions, bed sizes, furnishings, etc. may change without notice. These changes may be caused by malfunctions, required maintenance or owner preferences. Furnishings are NOT TO BE MOVED. Guests are responsible for damaged or missing items and for any extra cleaning or service calls due to negligence.
RATES: Rates are subject to change at any time. Reservations for holidays and during the months of July and October require a minimum of three-nights. Reservations for all other dates require a minimum stay of two nights.
RESERVATIONS: You must be 21 years of age or older to make a reservation. NO HOUSE PARTIES. NO PETS ALLOWED. Anyone found with a pet in or on the premises will be charged a $150 cleaning fee and will be escorted from the property immediately. All monies paid by the guest will be forfeited.
All cabins are NON-SMOKING.
Volunteer Cabin Rentals caters to families and responsible adults. We do not rent to students vacationing without adult supervision. Singles under the age of 21 not accompanied by a parent will not be allowed to register and will lose their deposit. Reservations made under false pretenses will result in loss of deposit.
PAYMENT: A two-night deposit plus a $45 non-refundable reservation fee is required when you make your reservation. We accept all major credit cards, travelers' checks, money orders and cashier's checks. NO PERSONAL CHECKS ARE ACCEPTED.
Pursuant to the provisions of the Tennessee Code Annotated, Title 47, Chapter 18 and Title 62, Chapter 13, Section 62-13-104(b)(3), Subdivision (D)(i), Volunteer Cabin Rentals discloses the following as policy as of 08/14/2006: ?All advance rent deposits, damage deposits and balance of rent due are deposited into a bank clearing account. These deposits are considered income to Volunteer Cabin Rentals upon receipt. Any refund considerations are expensed from the general books of Volunteer Cabin Rentals.
INSECTS: All units are sprayed monthly by a professional pest control company, but wasps, ladybugs and other insects sometimes infest rental units. We are in the Great Smoky Mountains and sometimes we have unwanted little guests that might decide to visit you and your family.
MAINTENANCE: Volunteer Cabin Rentals performs regular maintenance on all cabins and makes every effort to keep all amenities in working order. As in any home, appliances, hot tubs, A/C and heating units, satellite TV, fireplaces, etc. may malfunction on occasion. While we cannot offer refunds or discounts for such malfunctions, we will make every effort to correct any deficiencies as soon as possible during regular business hours. Please report all maintenance issues immediately.
DRIVING CONDITIONS: Mountain roads can be tough at any time of the year. We do not guarantee any road surface conditions. Most roads in our area are well maintained, however some are curvy and steep. Some cabins have gravel drives. While these roads are routinely maintained, they may be bumpy at times. No changes or refunds will be given for fear of curvy or steep roads. During adverse weather conditions, we strongly recommend that guests use four wheel drive vehicles and/or chains.
NO REFUNDS WILL BE GIVEN DUE TO WEATHER CONDITIONS.
LINENS: All linens are provided, including bed linens and an adequate number of bath towels, hand towels and wash cloths. We do not offer maid service or linen service during your stay, but the cabins are equipped with washers and dryers for your use.
PAPER PRODUCTS: A "starter" supply of toilet tissue, paper towels, bath soap and dishwasher soap is provided.
CANCELLATION POLICY:
- If your reservation is cancelled prior to thirty (30) days of your arrive date, all of your deposit will be refunded, less the $25 + tax processing fee.
- If your reservation is cancelled between thirty (30) and fifteen (15) days of your arrival date, half of your deposit will be refunded, less the $25 + tax processing fee.
- If your reservation is cancelled less than fourteen (14) days of your arrival time, NO REFUND will be given.
- Rescheduling is permitted ONE time if the request is received (14) days prior to arrival date.
- Number of nights reserved cannot be decreased, and no refunds will be given for early departure.
- There is a $25 + tax processing fee for any changes and cancellations.
